Admission Policy
I. PHILOSOPHY
Dalhousie Public School welcomes learners from diverse national, cultural, linguistic, and academic backgrounds, including those from CBSE, Cambridge, and IB curricula. Our learning environment promotes academic excellence, character development, critical thinking, and holistic growth. We aim to nurture values of integrity, respect, empathy, and responsibility in every student.
Our admission process upholds fairness, transparency, and equal opportunity for all applicants, both day scholars and boarding students, while ensuring that enrolment decisions always prioritise the best interests of the child.
II. GUIDING PRINCIPLES
Equal Access: Admissions are open to all students regardless of nationality, culture, religion, gender, ability, or socioeconomic background.
Appropriate Placement: Student placement is based on age suitability, prior academic performance, developmental readiness, and holistic learner profiles.
Inclusive Education: The school is committed to supporting diverse learning needs, multilingual backgrounds, and individualised learner pathways.
Transparency & Ethics: All stages of the admission process are conducted with integrity, sensitivity, and respect for students and families.
III. PURPOSE
The Admission Policy articulates Dalhousie Public School’s beliefs, values, and practices related to student enrolment. It establishes a clear and consistent framework that guides decision-making, ensures equity, and supports our strategic vision for sustained growth and inclusion.
IV. BELIEFS AND COMMITMENTS
- Diversity
We embrace diversity as a strength. The school is committed to creating an inclusive community that values different cultural identities, learning styles, languages, and perspectives. Ensuring a diverse student population is an intentional part of our admissions approach.
- Respect
Respect forms the foundation of our school culture. Interactions during the admission process are conducted professionally and sensitively so that no child or family feels discouraged or undermined. Whether admission is granted or declined, communication remains respectful and constructive.
- Safety & Well-Being
The school prioritises physical, emotional, social, and intellectual safety from the very first point of contact. Students must feel protected from discrimination, intimidation, or harassment throughout the admission process.
All personal information shared by families is handled confidentially and in accordance with the school’s data protection guidelines.
- Equality of Opportunity
We uphold the principle of equal access to learning opportunities. Decisions are free from prejudice related to gender, religion, ethnicity, ability, or nationality.
While the school does not discriminate, it considers the student’s educational, linguistic, and developmental background to ensure the school can effectively support the learner within the chosen programme.
- Evaluation of the Candidate
Admissions decisions take into account:
- Availability of seats in the grade/programme
- Student ability to meet age and curriculum placement expectations
- English language proficiency (where required)
- Records of behaviour, conduct, and academic performance from previous schools
- Any declared learning or physical needs to determine whether adequate support can be provided
- For senior grades, fulfilment of programme-specific eligibility criteria or aptitude assessments
Our aim is to include all learners, while ensuring that the school has the resources to meet their needs effectively.
V. ADMISSIONS CRITERIA AND ELIGIBILITY
- Student eligibility
Student eligibility is determined in alignment with school policies, programme requirements, and all applicable Indian regulations. The school places emphasis on fairness, readiness, and the capacity of the learner to thrive in our academic and boarding environment.
Eligibility is assessed through a combination of:
- Review of previous academic records
- Personal interaction and/or interview
- Diagnostic or placement assessments (for relevant grades)
- Behaviour and conduct history
- Language proficiency, particularly in English
- Developmental readiness (for Early Years admissions)
- Boarding suitability (for EY3 onwards)
- Evaluation process
The school follows a structured, developmentally appropriate assessment process to ensure correct placement and successful transition into the DPS community.
Assessment components
Depending on the grade level, evaluation may include:
- Face-to-face interaction/interview with the child (academician’s meet)
- Diagnosticassessment or academic baseline assessment (Grades 1–10)
- Scrutiny of previous school reports, transfer certificates, and teacher recommendations
- Written essay for certain grades/programmes
- Aptitude assessment, where applicable
- Boarding-readiness appraisal (for students opting for residential life)
The school evaluates a child’s ability to meet academic expectations, adapt socially, and integrate successfully into the boarding and academic culture.
- English language proficiency
As the medium of instruction is English, English proficiency is an important component of eligibility. Expectations vary by grade:
Early Years: Admission is not dependent on English proficiency. Children develop the language naturally through classroom immersion and interaction.
Grades 1–2: Students are not required to have full English proficiency at entry. Immersion in the learning environment allows children to develop language skills organically. Baseline assessments conducted after admission help inform planning and support.
Grades 3–5: Applicants are expected to have an adequate level of English to access the curriculum. Mid-year admissions into Grade 5 from state or national boards are generally discouraged if language proficiency is limited, given the demands of the culminating PYP Exhibition. Mid-year admissions from similar curricula may be considered.
Grades 6–10: Demonstrated ability to engage with the English-medium curriculum through reports, interactions, and assessments.Additional support may be provided for students with emerging language needs.
- Grade-wise academic expectations
The school expects learners to demonstrate grade-appropriate knowledge, skills, and conceptual understanding across subject areas. At the same time, we recognise that students may come with varied academic strengths and learning backgrounds. Admission decisions are therefore based on a holistic review of multiple sources of evidence, including previous school records, teacher recommendations, on-campus observations during student interactions or trial classes, and, where required, academic baseline assessments or written essays. The guiding principle is that the student must be able to access and benefit from the curriculum offered at the school.
- Early Years: Ability to demonstrate age-appropriate developmental milestones and readiness for structured learning.
- Grades 1–2: Demonstrate foundational comprehension, early numeracy and pre-math skills, basic environmental awareness, and the ability to remain focused and engaged during learning tasks.
- Grades 3–5: Ability to read, write, and speak with adequate context, and exhibit appropriate learning behaviour and etiquette.
- Grades 6–9: Admissions are based on a review of previous academic performance, teacher feedback, personal interaction, or a baseline assessment/essay as applicable.

Dalhousie Public School accepts applications throughout the year.
Students may join at the start of academic terms in:
- June
- October
- January
Mid-term admissions may be considered only if:
- Seats are available
- The student can integrate without academic disruption
- For boarding students, availability of hostel accommodation is confirmed
Tuition is not pro-rated for mid-semester admissions; the full term fee applies.
Mid-year admission is NOT allowed for:
- Grade 10 (IGCSE/Board Year)
- Boarding eligibility (EY3 onwards)
As a residential school, DPS emphasizes readiness for dormitory living.
Boarding admissions require:
- Boarding application form
- Medical records and health history
- Authenticated guardian/parent information
- Review of emotional, social, and personal readiness for residential school life
Boarders are supported through:
- House parents
- Residential mentors
- Medical and counselling staff
- Regular communication with parents regarding progress and well-being
- Age eligibility criteria
Age criteria are strictly followed to ensure developmental alignment.
Cut-off Date: 31 March of the admission year
DPS Age Requirements
- Toddlers: 2+ years
- EY1: 3+ years
- EY2: 4+ years
- EY3: 5+ years
The school acknowledges differences in global education systems but adheres to its age-placement guidelines as specified in the Admissions SOP.
- Class balance and Class size
To ensure optimal learning:
- Class size is capped at 22 students.
- Balanced representation of gender, ability, and nationality is maintained.
- In rare justified cases (e.g., faculty child, grade repetition), class size may exceed the limit by not more than two students.
- Priority in admission
- Siblings of existing students
- Children of alumni
- Children of staff members
- General category applicants
- Transfer conditions
- Students from other schools
Students from CBSE, Cambridge, IB, and other recognized curricula may apply with:
- Valid transfer certificate
- Previous school reports
- Any additional learning support documentation (if applicable)
- International transfers
Additional documentation may be required to establish curriculum equivalence and grade placement.
- Mid-Year transfers
Permitted only when academic continuity can be assured and boarding space is available.
- Feepolicy
Admission is confirmed only after payment of:
- Admission fee
- Security deposit
- First instalment of tuition fee
Discounts and concessions
- 5% discount for annual tuition paid in a single instalment
- 10% sibling concession on annual tuition for the second child onward
- 10% concession for parents serving in the armed forces
Fee regulations
- Tuition is payable in three instalments
- All other dues must be cleared with the first instalment
- Late payments attract 2% per month penalty
- Uniforms, transport, books, stationery, and miscellaneous expenses are charged at actuals
VI. ADMISSION PROCEDURE
- Registration
- Families may obtain the Registration Form from the school office or through the school website.
- A nominal, non-refundable registration fee is applicable.
- Registration does not guarantee admission; final decisions depend on assessments and seat availability.
- During the initial inquiry stage, the Admissions Officer briefs parents on the school’s philosophy, programme offerings, and the complete admission process.
- Submission of application and documents
The completed registration/application form must be submitted with the following documents:
- Attested copy of the Birth Certificate
- Aadhar Card of the student and parents
- Previous school report card (from Grade 1 onwards)
- Transfer Certificate with PEN number and APAAR ID (where applicable)
- Passport-size photographs of the student and parents
Additional documents may be requested if required for curriculum mapping, learning support planning, or international transfers.
- Student interaction and assessments
- Depending on the grade level, students may undergo an interaction session, entrance test, aptitude review, or learning needs assessment.
- Language proficiency may also be assessed where relevant.
- Placement decisions consider the child’s age, previous curriculum, developmental readiness, academic records, and the school’s capacity to support the learner.
- Admission decision
- Based on the review of documents, assessments, and interaction outcomes, families are informed of the admission status (admission, waitlist, or rejection).
- Fee payment and confirmation
- Admission is confirmed only upon payment of the stipulated fees within the given deadline.
- Submission of all required documents is mandatory for completing the admission process.
Admission remains provisional until all documents are verified and found in order.
- Post-admission induction and transition support
- After confirmation, parents receive official communication regarding orientation schedules and onboarding processes.
- The school organises Parent Orientation Programs to familiarise families with curriculum expectations, school policies, and operational procedures.
- Students are supported through induction activities such as Learning-to-Learn sessions, grade-level transition programs, and peer-buddy systems to ease their adjustment to school routines.
VII. ADMISSION REJECTION
Dalhousie Public School is committed to offering meaningful and supportive learning experiences to all students. However, admission may be declined under the following circumstances:
- Seats are not available in the requested grade level, department, or required support unit.
- The applicant is unable to submit the necessary documents required for processing the admission.
- The student’s academic background does not align with the expectations or demands of the programme applied for.
The subjects or learning pathways requested by the applicant are not available at the school.
VIII. ADMISSION CANCELLATION
The school retains the right to withdraw or cancel an admission if any of the following conditions arise:
- False, inaccurate, or misleading information is provided by the student or parent during the application process.
- Relevant information regarding learning challenges or special needs is withheld.
- The student displays serious behavioural concerns as defined in the School Code of Conduct.
- Significant breaches of the school’s Academic Integrity guidelines occur.
- The student’s academic progress remains unsatisfactory despite sustained support and counselling.
- Attendance is consistently poor and affects academic performance.
- The student’s behaviour proves disruptive or harmful to the school environment or student community.
If a student is required to withdraw from the school due to any of the above reasons, no refund of tuition fees will be provided.
IX. CONDITIONAL ADMISSION
Applicants may be offered a conditional admission in cases where the school requires additional time to determine whether the student will be able to succeed within the school’s academic and behavioural expectations.
- Students admitted conditionally will be reviewed after six weeks of enrolment and again at the end of the first three months. Parents will receive regular updates during this period.
- If the academic team determines that the student is adjusting well and benefitting from the programme, the admission will be converted to a regular placement.
- If, despite support, the student is unable to thrive in the school environment, parents may be advised to consider withdrawal and guided toward a more suitable grade level or educational setting.
Conditional admission may also be offered to online applicants whose placement is based solely on previous school records in the absence of an in-person observation. The admission becomes regular only after successful completion of the on-campus observation.
X. WAIT POOLS
When the number of qualified applicants exceeds available seats for a particular grade, the student’s application will be placed in a wait pool.
To be eligible for the wait pool:
- The applicant must meet all admission criteria.
- The full application process, including submission of documents, must be completed.
Placement in the wait pool does not guarantee admission but ensures consideration when vacancies arise.
XI. REQUIREMENTS PRIOR TO ADMISSION
Before a student’s admission can be confirmed, the following requirements must be completed:
- Submission of the application form with accurate and complete information.
- Payment of the admission fee within the specified timelines.
- Submission of all required documents to the admissions office.
- Academic reports from the previous two years (where applicable).
- A valid Transfer Certificate from the last attended school.
- A completed Medical Declaration Form along with a certified blood group report.
XII. WITHDRAWAL OF ADMISSION
Families intending to withdraw their child from the school are required to submit a written notice of withdrawal. A minimum notice period of one month is generally expected.
Upon initiation of the withdrawal process, the school will issue a No Objection Certificate (NOC) only after all required clearances have been completed. The following departments must provide clearance before the Transfer Certificate or Withdrawal Letter is released:
- Library: All borrowed books, resources, and materials must be returned.
- Locker Management: Any locker keys or assigned storage items must be submitted.
- Boarding (where applicable): Boarding students must complete all procedures related to hostel facilities, including the return of amenities and school property.
- Accounts Department: All financial obligations, including tuition fees, transport fees, and any other outstanding charges, must be fully settled.
The Transfer Certificate/Withdrawal Letter will be issued only after all departmental clearances have been verified.
XIII. PARENT PARTNERSHIP AND CODE OF CONDUCT
The school views parents as essential partners in each child’s admission process and educational journey. To ensure a shared understanding and smooth transition into school life, the school:
- Encourages parents to collaborate closely with teachers and school teams to support their child’s learning and holistic development.
- Conducts regular orientation sessions, informational meetings, and workshops to help families understand the curriculum, teaching approaches, and (where applicable) boarding life.
- Maintains ongoing, transparent communication regarding the child’s academic progress, well-being, and any challenges that may arise.
By accepting admission at the school, parents and students agree to uphold the school’s expectations, which include:
- Adhering to all school rules, regulations, and policies.
- Ensuring regular attendance, punctuality, and appropriate standards of student behavior.
- Actively engaging in academic, co-curricular, and school community programs that contribute to the child’s holistic development.
XIV. LINKS TO LEARNING DIVERSITY SUPPORT POLICY
Dalhousie Public School is committed to creating an inclusive learning environment that welcomes students with diverse learning profiles. Admission decisions for applicants with identified or suspected learning needs are based on the school’s ability to provide meaningful and sustainable support.
- Admission considerations for students with learning difficulties
- Decisions regarding learners with diagnosed or observable learning challenges are made after evaluating whether the school has the physical infrastructure and learning support resources necessary to meet the child’s needs.
- Applicants with mild to moderate learning, social, or emotional needs may be referred to the Student Support Team for review and preliminary evaluation.
- Families must transparently disclose any diagnosed learning difficulty, behavioural need, or ongoing intervention at the time of application. Non-disclosure of relevant information may lead to reconsideration or cancellation of admission.
- The school may require recent external assessments (not older than three years) to better understand the learner’s profile or request additional evaluations before confirming admission.
- Required documentation for applicants with learning support needs
Where applicable, the following documents must accompany the application:
- Professional assessment reports
- Records of current or past learning support services
- Individual Education Plan (IEP) or educational evaluations
- Relevant medical documents
- Documentation of interventions, therapy, or treatment history
- Admission capacity and continuity of support
- The school admits students requiring learning support only up to the available capacity of the Learning Support Unit. When capacity is reached, further admissions may be deferred until resources or space become available.
- Admission decisions are made by the Principal in consultation with the Learning Support team.
- The school retains the right to review a student’s progress and determine continued suitability of placement if it becomes evident that the child is unable to benefit from the curriculum despite multiple support measures.
- While the school offers academic and classroom-based accommodations, specialized services such as occupational therapy, speech therapy, physiotherapy, or clinical mental health support are not provided in-house. Parents may seek such services externally.
- Students with physical challenges
The school campus includes multiple learning spaces. Students with physical challenges may be admitted if their mobility needs allow safe and independent access to classrooms and essential school facilities required for full participation in the academic programme.
XV. LINKS TO LANGUAGE POLICY
Dalhousie Public School values multilingualism and recognizes the importance of language in learning and personal development. The school respects each child’s home language while ensuring students can access the curriculum effectively.
- The medium of instruction aligns with the selected curriculum: English for IB and Cambridge, and English/Hindi (bilingual) for CBSE.
- Students new to the language of instruction are provided with EAL/ELL support to develop proficiency.
- Teachers are trained to support language acquisition in mainstream classrooms, with additional support offered when required.
- Language enrichment programmes enhance literacy, communication, and confidence, while parents are encouraged to continue supporting home-language development alongside school learning.
XVI.REVIEW OF THE POLICY
The DPS New Chandigarh Admissions Policy came into effect from August 2025 and will be reviewed every two years or earlier as needed by the policy review committee and the Pedagogical Leadership Team (PLT).
